Summary:
This position will include general secretarial and administrative support, client interaction, hospitality, calendaring, scheduling, and document production.
Job Description:
- Complete front office duties as required, including receptionist duties during and after meetings, mediations and depositions.
- Greet, welcome and seat guests as soon as they arrive at the office
- Direct visitors to the appropriate person and conference room
- Answering, screening and forwarding incoming phone calls using multi-phone equipment
- Handle client payments & credit card transactions
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Update calendars and schedule meetings
- Manage Conference Room schedules to prevent conflicting meetings
- Clean-up and preparation before and after meetings & stocking conference rooms
- Event set-up & tear-down
- Responsible for tracking and handling all deliveries/pickups flowing through the front desk
- Vendor contact & scheduling
- Assist in compiling large mailings firm-wide
- Copy, file and maintain paper or electronic documents and records
- Notarize documents
- Back-up runner duties & coverage
- Assist staff members with various projects and other duties as assigned

Job Requirements:
- High school diploma or GED equivalent
- 3+ years of prior experience in a legal environment or customer service driven industry
- Experience, or capacity to learn, NetSuite systems
- High emotional intelligence and passionate about premium client care
- Ability to learn Company’s technology platform
- Professional personal presentation
- Highly developed sense of discretion and confidentiality
- Detail-oriented with the ability to plan work effectively
- Demonstrated commitment to company objectives and client service
- Knowledge of MS Office Suite, including Publisher, Excel, and PowerPoint
