Public Finance Legal Assistant 

A leading US law firm with 130+ attorneys has an exciting full-time employment opportunity for a Public Law Assistant in the San Francisco office. The successful candidate will support (on-site) nationally recognized attorneys who participate in municipal finance and commercial lending transactions. Must have prior experience as a legal secretary, preferably in public finance.

Job Description:

Essential Job Duties:

  • Word Processing/Secretarial Duties
  • Maintain opinion and correspondence files.
  • Revise and proofread documents with high accuracy.
  • Convert documents from various formats to Word, Excel, or PowerPoint and re-format.
  • Modify, compile, and redact PDFs.
  • Download, organize and print data room documents.

Billing:

  • Input attorney timesheets into WebView.
  • Discussions with billing partners regarding special billing arrangements.

New Clients / New Matters / File Closings:

  • In charge of all file openings for new clients and new matters, including preparation of file opening forms.
  • Preparation of engagement letters; conflict checks (if required) and preparation of conflict waiver letters (if required).

Office Responsibilities:

  • Responsible for office administrative duties including answering phones, distributing mail, and liaise with Fed-Ex, UPS, USPS, etc. for all incoming and outgoing packages.
  • Greet and assist visitors when they arrive at the office.
  • Monitor office supplies inventory and place orders.
  • Schedule appointments, including meetings and conferences.
  • Coordinate workflow and prioritizes work so that all deadlines can be met. Act as primary liaison to building management.
  • Reserve conference room(s) for meetings; arrange for special equipment, and coordinate catering services.
  • Assume special projects under direction of Managing Partner.
Job Requirements:

Qualifications/Requirements:

  • At least3 years law firm experience as a legal secretary, preferably in public finance.
  • BA/BS degree preferred.
  • Expert proficiency with MS Office (Word, Excel, PowerPoint and Outlook) applications.
  • Exceptional organizational skills to seamlessly perform and prioritize multiple tasks with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with internal and external partners, attorneys, staff and clients.
  • The ability to communicate both orally and in written communications effectively and accurately.
  • High level of professionalism and interpersonal skills to be able to work with employees at all levels within the firm and maintain information in the strict confidence.
  • Must be able to work overtime if necessary.
