Job Description:

The Payroll Specialist is a vital member of our accounting team, responsible for managing and processing payroll for all employees of a construction / facilities maintenance company. This role ensures accurate and timely payroll processing, compliance with applicable laws and regulations, and effective communication with employees regarding payroll-related inquiries. The ideal candidate will possess strong accounting skills and be proficient in payroll software systems.

Responsibilities

  • Process payroll for all employees, ensuring accuracy in hours worked and pay rates.
  • Maintain employee records related to payroll, including new hires, terminations, and changes in employment status.
  • Perform general ledger reconciliation to ensure all payroll transactions are accurately recorded.
  • Prepare journal entries related to payroll expenses and liabilities.
  • Utilize payroll systems such as ADP, Kronos, or QuickBooks to manage payroll functions effectively.
  • Conduct data entry tasks related to employee timekeeping and benefits administration.
  • Assist in the administration of employee benefits as they relate to payroll deductions.
  • Respond to employee inquiries regarding paychecks, deductions, and other payroll-related matters.
  • Stay updated on federal and state payroll regulations to ensure compliance.

Job Requirements:
  • 3+ years of payroll experience.
  • Strong understanding of accounting principles and financial concepts.
  • Proficiency in using payroll software such as ADP, Kronos, or QuickBooks.
  • Experience with general ledger reconciliation and journal entries.
  • Excellent data entry skills with a high degree of accuracy.
  • Knowledge of debits and credits as they pertain to payroll processing.
  • Strong attention to detail and organizational skills.
  • Ability to communicate effectively with employees at all levels regarding payroll issues.
  • Familiarity with benefits administration processes is a plus.
