Job Description:

We are seeking a detail-oriented and organized Accounting Assistant with experience in construction industry to join our team. The ideal candidate will play a crucial role in supporting our accounting department by performing various clerical tasks, maintaining financial records, and ensuring smooth operations. This position requires proficiency in accounting software and strong communication skills to effectively interact with clients and team members.

Duties

  • Understand accounting principles, know and understand AJEs, know and understand COGS, know how to prepare reconciliations.
  • Assist with reception and answering phones.
  • Prepare and file sales tax returns monthly.
  • Maintain concrete and construction licenses with appropriate agencies.
  • Prepare and file annual state registrations in Oklahoma, Nebraska, Missouri and Kansas.
  • Prepare quarterly WIP reports.
  • Maintain progress billing summaries for each project (job costing).
  • Prepare the certified payroll reports for the projects that they are required.
  • Prepare the prevailing wage reports on projects that are prevailing wage (Davis-Bacon Act)
  • Prepare the diesel usage breakdown by project/company.
  • Make hotel reservations for out-of-town projects.
  • Assist with preparation of documentation for annual reviews (audits).
  • Prepare monthly AIA pay applications on projects and invoicing on residential projects.
  • Prepare inter-company monthly billings, make hotel reservations for crews, prepare weekly per diem reports.
  • Prepare DOT fuel permits for out-of-state travel assist with preparation and filing bids, maintain the equipment files, maintain and file the annual vehicle registrations, maintain and file the USDOT reports, track subcontractors’ documents on projects, assist with change orders and close-out documents on projects.
  • Set up new project files on the server.
  • Keep track of completion deadlines for Liquidated Damages.
  • Prepare all the filings in AASHTOWARE for KDOT projects.
  • Manage the company emails and keep track of all the user names and passwords for email addresses and manage the email account, software applications, and software subscriptions.
  • Assemble hiring packets.

Job Requirements:
  • 2+ Previous experience in a accounting and administrative role.
  • Proficiency in QuickBooks, Microsoft Excel and Word applications.
  • Excellent phone etiquette and customer service skills.
  • Familiarity with file management systems and phone systems is a plus.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Attention to detail for accurate data entry and proofreading.
  • Ability to work independently as well as part of a team.
