Global law firm’s Silicon Valley office is seeking a motivated Corporate Legal Secretary to support its managing partner. This person will perform a variety of secretarial duties according to established policies and procedures. Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client matters.  Operates a computer – proficient in Word, basic knowledge of Excel and Power Point. Prepares correspondence, memoranda and other documents from written and oral drafts; drafts standard correspondence and other documents. Screens telephone calls and records messages. Reads, sorts and distributes incoming mail. Ensures that outgoing mail is timely delivered. Assist with large mailings. Establishes and maintains calendar and deadline reminder systems; utilizes master calendar system. Opens new files and requests conflict of interest checks. Conducts periodic review for possible storage of older files; prepares files to be closed. Schedule internal meetings, including reserving a conference room, ordering food /beverages, and arranging IT setup. Enter attorney time into firm’s billing system, proof and finalize time prior to the close of the month. Make travel arrangements as requested by attorneys, process expense reports, and reimbursements. Works closely with support staff (word processing, reprographics, receptionists, hospitality, etc.). Performs overflow typing, filing, photocopying, and scanning. Enter attorney time into firm’s billing system, proof and finalize time prior to the close of the month. Job Requirements:


Five to seven years minimum of experience in the areas of general corporate law; Advanced proficiency in Microsoft Word and Excel; Excellent interpersonal, written (grammar, spelling, format) and verbal communication skills; Demonstrated problem solving skills; Ability to work collaboratively with all levels of the organization and demonstrate a team-oriented work style; Excellent organizational skills and attention to detail; Ability to effectively handle shifting priorities and adapt to changing demands in a fast-paced, dynamic environment.
