Job Description:Position Summary:This position is responsible for providing high quality and efficient legal secretarial and administrative services for a small law firm. In addition to providing litigation secretarial support to one partner plus two to three attorneys, the legal secretary will act as the local administrative point of contact for the office, performing various administrative duties including answering phones, monitoring and maintaining kitchen and office supplies, greeting visitors and distributing mail. Responsibilities:
Type and edit legal and other documents (including correspondence, reports, memoranda, bills, pleadings, timesheets and project work) from handwritten or typed materials.
Copy, distribute, send (electronically and/or via mail, courier or express service), file and otherwise handle completed work.
Proofread work for accuracy of copy, format, grammar, punctuation and syntax.
Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff.
Process incoming and outgoing mail.
Notify building security of firm visitors and clients.
Greet visitors in a professional, courteous manner.
Perform administrative tasks, including processing new client/matter requests, client bills, time reports and expense reports.
Set up and maintain electronic and physical files in accordance with firm and attorney requirements.
Coordinate conferences, meetings and appointments, including handling catering and conference room set-up requirements.
Maintain and monitor the kitchen and copy area throughout the day, including ordering supplies as necessary to ensure proper supply levels.
Coordinate travel arrangements, securing air and ground transportation and hotel accommodations.
Perform/assist with e-filing process in federal, state and local courts.
Job Requirements:
1 - 3 years of litigation experience in a law firm or professional services firm is desired
Working proficiency using Microsoft Outlook, Word, PowerPoint, Excel and be adaptable to learning new software.
Experience with entering time in Intapp or other law firm timekeeping system preferred.
Familiarity with federal, state and local court rules and e-filing experience preferred.
Must have strong customer service and team orientation and be able to relate and interact with people at all levels in the company as wellas clients and others from outside of the company.
