Job Description:

We are seeking a motivated and detail-oriented Legal Assistant to join a dynamic legal team. Hybrid position with Tuesdays and Thursdays onsite. The ideal candidate will play a crucial role in supporting attorneys with various legal tasks, ensuring the smooth operation of our practice. This position requires strong organizational skills, attention to detail, and a solid understanding of legal procedures. The Legal Assistant will be responsible for managing documents, conducting research, and assisting in case preparation.

Responsibilities

  • Assist attorneys with legal research and case preparation.
  • Draft, proofread, and review legal documents including contracts and pleadings.
  • Manage case files and maintain organized documentation.
  • Transcribe legal correspondence, memos, and other documents as needed.
  • Schedule client meetings, reserve conference rooms, coordinate audio visual equipment and food needs via CovReservations. Register Firm guests through Passage Point. Coordinate all aspects of lawyers’ travel arrangements (domestic and international) and prepare travel itineraries, monitor and process travel reimbursements in a timely manner, maintain Outlook calendar, and monitor crucial due dates for lawyers as required.
  • Review documents for accuracy and compliance with legal standards.
  • Utilize iManage document management system effectively as a central repository for all matter-related documents.
  • Maintain lawyers’ time in 3E, proofread, and submit finalized time to Accounting on a daily basis (unless client directs otherwise). Maintain knowledge of client requirements for billing and prepare client billing as required. Prepare New Business Matters and update list of client/matter codes. Maintain and follow through on all client billing matters.
  • Mandatory participation in the Legal Administrative Assistants Certification Program.

Job Requirements:
  • 5+ years’ Legal Administrative Assistant work experience, with some litigation preferred.
  • Someone seasoned but are open so long as they have solid prior experience.
  • High school diploma is required. College strongly encouraged.
  • Ability to navigate iManage, MS Office, Elite, 3E,Chrome River and CovReservation.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal and organizational skills.
  • High attention to detail, ability to multitask in a high paced environment, and manage deadlines.
  • Ability to prioritize and coordinate work.
  • Ability to maintain confidential information.

We are also looking for applicants with docketing or a senior litigation paralegal background in CA.
